Renting out your property, whether it be your own home, an investment property or a portfolio
of properties, can be a daunting prospect for any landlord. Finding a tenant for your property is easy
but finding the right tenant takes experience. It is therefore vitally important to select your letting

have by offering the highest standards of service, services which are designed to put the landlord
first and to ensure the successful letting and management of your property.
It is our belief that in order to offer and maintain such high levels of professional service and manage
your asset effectively, all matters relating to your property should be handled by a dedicated lettings
team based "under one roof".
At COWDEL CLARKE, all aspects of the letting, management and accounting are handled from our
Stockton Heath Office, where our lettings team is dedicated to looking after you and your property.
We offer two levels of service to our landlords, which can be tailor-made to suit individual requirements:-
- Lettings Only
- Full Management
Both services include the following:
Assessing the property
We will arrange to meet with you at your property where we will give honest and valuable advice concerning the likely rental income and how to prepare the property for letting. We will discuss current letting legislation, the lettings market and any restrictions you wish to impose upon the property.
Advertising & Viewing
Your property will be advertised utilising unlimited colour photography in our prominent Stockton Heath Office window, via our daily lettings guide, our high quality and easy to navigate COWDEL CLARKE website and through all of the major internet portals including the increasingly popular Rightmove website. A "To Let" sign will be erected outside your property as research has proven that this can increase the speed of lettings by 30%. All viewings will be accompanied at all times.
All prospective tenants will undergo strict referencing through a professional referencing agency.
A deposit will be taken on all tenancies. The deposit will be registered under the appropriate Deposit Protection Scheme by either the landlord or COWDEL CLARKE.
Recent changes in deposit regulations mean that in order for deductions to be made from a tenants deposit for damages/cleaning etc, it is necessary to have a comprehensive Inventory & Schedule of Condition. COWDEL CLARKE have experienced personnel who are able to prepare this document for you.
Your property will usually be let on an Assured Shorthold Tenancy. We would recommend a six or twelve month tenancy initially, which can then be renewed for a further period if you wish.
The tenants, under the terms of the tenancy agreement are responsible for the payment of all utility bills and Council tax. You will need to inform the telephone provider that you are moving away as they unfortunately will not deal with a third party.
We operate the latest in innovative lettings and property management software including a comprehensive accounting system enabling us to effectively manage our lettings business.
Rental payments will be made direct to the landlord's bank account on a monthly basis and statements forwarded simultaneously.
The balance of the initial funds collected are paid by cheque or direct to the landlords bank account after the start of the tenancy. Future rent payments will be made direct to the landlords bank account by standing order from the tenant.
Additional services for full management
During the tenancy we will deal with any day to day tenant queries and any repairs or minor maintenance that needs to be carried out. Larger maintenance issues will be referred to the landlord before any work is undertaken.
Periodic inspections will be carried out at the property, (usually every 3 months) to check that the tenancy is being conducted in accordance with the Tenancy Agreement. An inspection report will be forwarded to the landlord accordingly. The inspections also provide an opportunity to report to you any future improvements required, to plan ahead thus ensuring that the property remains in the best condition for re-letting.
In the event that your tenants gives notice to end the tenancy (one month's notice is required), you will be notified by telephone and in writing. Upon instruction we will re-advertise your property with immediate effect and carry out viewings during the last month of the tenancy in order to secure a new tenant for as soon after the end date as possible.
End of tenancy
At the end of the tenancy a cleanliness and inventory check of the property will be undertaken (once the tenant has vacated) and a report sent to the landlord accordingly. Any dilapidations will be dealt with in accordance with The Tenancy Deposit Scheme (TDS) regulations.
